Tournament Indemnity & Responsibility

This page outlines the responsibilities, limitations, support process, and operational requirements when a hosting arena uses the IDSport scoring system for ICSA National Tournaments.

1. Introduction

By using the IDSport platform for tournament scoring, the hosting arena acknowledges and accepts the responsibilities and limitations set out below. The purpose of this page is to ensure that both IDSport and the hosting arena clearly understand their roles before the tournament begins.

2. What IDSport Is Responsible For

  • Setting up user accounts on the ICSA Player Registration Portal.
  • Configuring the Nationals arena within the system.
  • Loading the relevant season, leagues, and teams.
  • Configure all game fixtures in the system as supplied by the hosting arena - including ICSA Game/Ref number.
  • Synchronizing ICSA player registrations with the IDSport scoring system.
  • Providing access to the IDSport scoring platform and related systems.
  • Ensuring the system is operational under normal working conditions.
  • Providing remote support during agreed support periods.
  • Assisting with setup and configuration where agreed in advance.
  • Maintaining and improving the software platform over time.

3. What the Hosting Arena Is Responsible For

  • Supply IDSport with the required user account information to set up access on the ICSA Admin registration system.
  • All match fixtures must be planned by the hosting arena and provided to IDSport. While the fixture generator can be used as a support tool, tournaments involving multiple age groups across different arenas typically require manual scheduling.
  • Providing stable and reliable internet connectivity at the venue.
  • Ensuring all scoring devices are functional, charged, and tested.
  • Providing reliable power and backup power where possible.
  • Ensuring trained scorers or operators are available for all courts.
  • Checking that fixtures, teams, and player data are accurate before the tournament starts.
  • Adding players to each team via the IDSport Admin Portal before games, as temporary players are not permitted in order to maintain accurate player statistics.
  • Appointing official support contact persons for the event.

4. Backup Plan if Internet Goes Down

If internet access is interrupted during the tournament:

  • Scoring must continue using manual score sheets.
  • All match details must be captured clearly and accurately for later input.
  • Once internet connectivity is restored, the arena must ensure that manual scores are correctly entered into the system.
  • The tournament organiser remains responsible for verifying the correctness of all manually captured results.

Recommended backup measures:

  • Mobile data router or hotspot
  • Printed score sheets for each court
  • Backup laptop or tablet
  • UPS or inverter for core equipment

5. Support & Communication

  • The hosting arena must appoint one designated support contact.
  • Only the designated contact person may contact IDSport for tournament support.
  • Support requests must include the court, issue description, and screenshots where possible.
  • IDSport support covers software-related issues and agreed configuration assistance.
Not covered by IDSport:
Hardware faults, local network failures, unstable Wi-Fi, ISP outages, or issues caused by third-party venue infrastructure.

6. Arena Checks Before the Tournament Starts

  • All fixtures are loaded and verified.
  • All teams and players are captured correctly.
  • Each scoring device has been tested successfully.
  • Browsers and required software are updated.
  • Internet is working on all courts and in all scoring areas.
  • A backup internet solution is available.
  • Backup score sheets have been printed.
  • Scorers and operators have been trained.
  • The official support contact has been assigned.

7. Player Registration

At player registration, the hosting arena must have trained personnel available to use the ICSA Player Registration Portal to verify and mark off registered players.

If a player is not registered on the ICSA portal, the registration link must be sent to the player so they can complete their registration. In such cases, IDSport must also be notified, as the relevant team will need to be resynchronised to ensure the player appears correctly in the scoring system.

8. Limitation of Liability

IDSport shall not be held liable for delays, data loss, or incorrect results arising from user error, internet failure, power failure, device malfunction, or failure by the hosting arena to follow the required procedures and checks.

IDSport is a digital scoring tool designed to assist tournament operations. Final responsibility for match results, operational readiness, and tournament outcomes remains with the tournament organisers and the hosting arena.
